Vacation Leisure's number one priority is to provide a quality vacation product to every owner and guest who visits a Vacation Leisure managed property. Our past experience tells us that when we work hand in hand with a property developer and an association board of directors, we can achieve great successes.

Our commitment to providing the highest quality resort services results in a well-run property and a healthy interval owners association. Our staff members are trained in customer service and receive continuing education regarding resort operations, association policies, in-house services and industry service providers.

We know that our ability to tailor a management plan to specific needs of each of our various resorts, lends to their overall success. No resort is managed exactly as another. The V.L.M. philosophy is the rule, never the exception. Our success in meeting the needs of each property justifies our willingness to customize each resorts management plan.

Association Service Directory

Vacation Leisure Maintenance Co., Inc. provides complete resort management services. A listing of the services is provided, but is not limited to the following descriptions.

Finance

Maintain bank accounts with dual signatories for Operating Accounts, Reserve Accounts and Investment Accounts, along with providing reconciliations.

Retain an independent accountancy firm to prepare annual tax returns, annual fiscal reports and/or association audits.

Prepare reports for annual independent fiscal reports and/or audit and tax preparation.

Prepare annual budget for Board of Directors approval.

Prepare in-house reserve study or retain independent study provider.

Process association maintenance fee billings as required.

Developer and administer collection policies at no additional cost to the association.

Maintain a system of collection to insure resort operation funding.

Provide the board of directors with quarterly financial statements within 45 days of the end of each quarter.

Administration

Research and maintain owner roster.

Appeals to city or county officials.

Comply with applicable city and county codes.

Maintain and adhere to the association's governing CC&R's (Covenants, Conditions and Regulations, By-lays, Declaration, Public Report, etc.).

Coordinate retention and provide assistance to legal counsel.

Provide insurance evaluations.

Process payroll records and reports.

Prepare and organize quarterly Board of Directors agenda packages and annual owners meeting agenda package.

Attend quarterly Board of Directors Meetings and Annual Owners Association Meetings.

Assist the board of directors with any and all projects relating to the association.

Organize all details and distribute materials for the Annual Owner's Meetings, as prescribed in the governing instruments, to all eligible interval owners.

Site Supervision

Retain and supervise service vendors with sub-contractors; research evidence of insurance, workers compensation, licensing, bonds and permits.

Site inspections implemented within the allowances of resort budget and property needs.

Supervise all resort staff duties.

Realty Services

Administer lien processes on behalf of the association.

Secure deed-backs and quitclaim deeds on behalf of the association.

Implement in-house resales and/or supervise resales provided by independent contractor.

Communications

Distribute annual report to association members within the time prescribed by the association's governing instruments.

Prepare and mail quarterly association newsletters.

Prepare special mailings and notices.

Coordinate annual staff training seminar.

Administer weekly staff meetings.

Educate owners on resort or association changes, addendums and/or amendments.

Educate owners regarding exchange/travel capabilities.

Answer any and all oner's questions as related to their ownership.

Prepare and administer owner surveys.

Listen to the individual owner's and guest's comments and concerns.

Customer Service

Incorporate team management to insure high performance from all employees and to insure the highest level of customer service.

Provide Plus 1 service.

Provide reservation services.

Provide personal customer to management contact.

Provide enhanced exchange services: Bonus Time, Bonus Time Cash Back Plan, Direct Exchanges and RCI/Exchange Company education.

Provide the tools that will facilitate the owners use of their interval ownership. (ie: Resort Request Forms, Direct Exchange Request Forms, etc.).

Resort Operations

Coordinate resort purchases and services required, during resort maintenance period(s).

Implement and administer resort preventative maintenance schedules.

Shop, coordinate and order for bulk discount purchasing.

Implement resort inventory systems for budget preparation, annual refurbishing plans and maintaining unit quality.

Require resort staff to provide monthly property reports for budget preparation, refurbishing plans, maintaining unit quality and for board of director reporting.

Provide review and evaluation on matters related to resort operations.
